工作職責:
1. Provide support to Head of Medical Information to ensure timely delivery result.
? Assist to prepare presentation slide and MI monthly operational report.
? Plan and prepare MI monthly team meeting and Bi-weekly Team Lead meeting. Draft meeting minutes after Team Lead meeting.
? Closely communicate with the assistant of East Asia Regional Lead to ensure all meeting attending and all document sending correctly and timely.
? Book various meeting and meeting room, send invitation emailletter based on the meeting invitation in calendar.
? Book travel tickets and hotel for business trip.
? Help to obtain different kinds of visa and all travel documents.
? Draft plan and logistic arrangement of Guest visit.
2. Provide support to the whole team to ensure the effectiveness and efficiency of team routine work
? Assist team to arrange meeting, training and activity. Prepare high quality meeting agendas, minutes and facilities in timely and proactive manner.
? Assist team member to obtain different kinds of visa and other travel documents during their business trip and advise them on expense report in different situations.
? Maintain up-to-date reference books, LSRD and hardcopy inquiries within the team and archive old ones.
? Manage MI property and provide monthly report to team.
? Assist team members with procurement applications and expense report according to projects needs.
? Provide new team member on-board logistic support, assist new team member to get stationary, and be familiar with the team and environment.
? Monthly check the training report of P2L to ensure everybody to complete the training on time.
3. Provide support to Operational team to ensure good documentation and complaince of MI Team
? Ensure team CV, Job Description and Organizatoinal Chart are updated and send Organizatoinal Chart to EMCMI East Asia region on time.
? Provide training of HR & Finance systems to new comers.
? Maintain all documents in team P drive.
